Prepare the documents
Have the check-in inventory and agreed checkout appointment available. Record which rooms, furnishings and keys form part of the tenancy. A systematic room order makes comparisons easier than a rushed general impression.

Describe specific observations and their location. A dusty shelf, a worn carpet and a broken fitting are different findings. Photos should support the observation, with context as well as close-ups.

Close the handover
Record returned keys and the agreed process for follow-up. Keep communications and relevant invoices. If a deposit dispute develops, consult the scheme holding the deposit and follow its current evidence and deadline requirements.

A final practical pass
Walk through in the same order as your checklist. Look inside cleared storage and check areas used during the move. Confirm that appliances are empty where required, rubbish has been removed and access is ready for the next appointment. A final review helps catch omissions while you still have time to address them.
